Screening only works if you start with the same information from every applicant. When details arrive as WhatsApp voice notes, photos of IDs, and half-answered questions, you end up comparing apples to oranges and skipping steps under pressure to fill the unit.

A simple written application fixes that. It sets expectations with the applicant, gives you a clean file to work from, and makes your screening checklist actually usable.

What the application should capture

Property and timing. Which unit they want, desired move-in date, and the rent/term they are applying for. This avoids confusion when you have more than one vacancy open.

Who they are. Full name, phone, email, current address, and ID. Attach copies of government-issued ID and recent proof of address.

Who will live there. Adults, children, and pets. Surprises at move-in are expensive.

Income and work. Employer or business name, role, and supporting documents (employment letter, payslips, or bank statements). Self-employed applicants usually need a longer statement history.

Rental history. Previous landlord contact and whether they have ever been asked to leave. You will verify this later; the application just makes sure you have something to verify.

Guarantor and references. Especially useful for first-time renters. Non-family references beat a relative every time.

A signed declaration. They confirm the information is true and that you may verify it. Keep it short and clear.

How to use it without slowing the deal

  1. Send the form (or have them fill it on paper) before you invest time in full screening.
  2. Reject incomplete applications politely and ask them to finish. Incomplete packets are themselves a signal.
  3. Once complete, run your tenant screening checklist against the same packet.
  4. Keep the signed form with the rest of the tenancy file if you accept them.
